This release includes the following improvements:

  • Bug fixes and fine-tuning to improve the overall user experience, including:
    • Fix for an error preventing some users from editing their special educational needs (SEN) information on their establishment record.
    • Removal of an invalid entry from the drop-down list of options for the appointing body field on an establishment’s governance record.
    • Removal of an unnecessary link to the news page on the help menu.
    • Change to some font size settings on an establishment’s governance record, to improve clarity.
    • Change to some font size settings on the change request approvals page, to improve clarity.
    • Update to the layout and functionality of the tables on the group and establishment change history pages to improve user experience and ensure compliance with the Government Digital Services (GDS) style guide.
    • Update to the menu focus rules to improve user orientation when navigating between different sections of a page.
    • Update to the accessibility features of the proprietor section of an independent school’s establishment record to ensure continued functionality where a user’s JavaScript settings are disabled.
    • Update to the standard features of all modal components to ensure full accessibility.
    • Update to the accessibility features of the filter component on the search results page to improve user experience when using a screen reader.
    • Update to the labelling on various tool pages to ensure compliance with the accessibility requirements for public sector websites and applications.

This release includes the following improvements:

  • Backfill of the historical downloads repository to 11 September 2020.

    NB. Older versions of some downloads are also available separately. Users with a need to access these older versions should contact the GIAS support team by completing service request (opens in new tab).
  • Bug fixes and fine-tuning to improve the overall user experience, including:
    • Fix for error experienced when updating some academy 16-19 convertors.
    • Fix for the incorrect generation of an error message when updating proprietor information for some independent schools.
    • Fix for incorrect error message when some invalid dates are used.
    • Fix to ensure all download links default to HTTPS. Users attempting to link directly to a HTTP link will need to accommodate to this change.

Reminder for users responsible for keeping the establishment record up to date

If you have not checked your school’s Unique Property Reference Number (UPRN) value recently we encourage you to do so as part of your next monthly review.

An updated version of the Get information about schools (GIAS) service has been released to all users. You do not need to take any specific action unless otherwise indicated below.

This release includes the following improvements:

  • Access to historical versions of the common downloads. Users accessing the downloads page will now be able to search for earlier versions of each of the common downloads.

    NB. In this initial release we have created the historical repository and included the ability for users to search it. From today, each day’s version of the downloads will automatically be added to it. In a future release, we will also add earlier versions of each download, dating back to 11 September 2020.

    Older versions of some downloads may also be available separately. Users who need to access these older versions should contact the GIAS support team by completing a service request (opens in new tab).
  • Annual refresh of the following geo-spatial data items with the latest version of the ONS dataset.
    • Ward
    • District
    • Lower Super Output Area (LSOA)
    • Middle Super Output Area (MSOA)
    • Parliamentary constituency

An updated version of the Get information about schools (GIAS) service has been released to all users. You do not need to take any specific action unless otherwise indicated below.

This release includes the following improvements:

  • Addition of new online provider variables to the 'All establishment data' download. Frequent users of this file may need to take some local action to adjust to the revised structure.
  • Addition of a new ‘Accessibility’ page and statement, explaining where the service meets the accessibility requirements for public sector website and applications, and our plans for addressing areas of non-compliance.
  • Removal of unsupported legacy variables from the database and associated download and web service files. Frequent users of these files may need to take some local action to adjust to the revised structure.
  • Inclusion of independent and local authority maintained schools in the functionality which automatically updates the establishment's status from 'open but proposed to close' to 'closed' on the date provided.
  • Additional automation to ensure that when an academy's ‘proposed to open’ date is amended the ‘proposed to close’ date of the predecessor school is also automatically amended to the day before the new ‘proposed to open’ date.
  • Bug fixes and fine-tuning to improve the overall user experience, including:
    • Various minor content updates across different pages to ensure compliance with the GOV.UK style guide.
    • Removal of some action buttons that were continuing to be displayed after they became inactive, for example following a change to an establishment’s status.
    • Improved clarity and accuracy of validation messages.
    • Correction of inaccurate field labelling.
    • Update to footer links to ensure they direct users to the correct areas of the site.

In future releases we plan to include:

Data correction
16 September 2020

Due to an administrative error the status of establishment record, URN 147456: The Wells Academy, was wrongly changed from ‘proposed to open’ to ‘created in error’ on 27 August 2020. This means that the record disappeared from GIAS and any searches, downloads or extracts.

A new record, URN 148198: The Wells Academy, was created in its place on 1 September 2020 with the status of ‘open’.

To correct the error these changes were reverted on 16 September 2020, meaning URN 147456 was reinstated and marked as open. This now appears on GIAS and in any searches, downloads or extracts. URN 148198 has been marked as created in error and no longer appears on GIAS or in any searches, downloads or extracts.

Users who may have undertaken any searches or used the downloads or extracts between 27 August 2020 and 16 September 2020 may wish to update their local records or make use of the latest data.

  • Introduction of a new establishment type to include the details of online providers in GIAS. Further details are included in the GIAS glossary.
  • Addition of the ‘code’ fields to the group downloads and individual extracts where the ‘name’ fields are already present. This is to enable best practice indexing of these fields. Codes currently displayed as words in the group status code field will be updated as part of a future release. Frequent users of these extracts may need to take local action to adjust to the changes.
  • Improvements to the experience of users with accessibility needs including:
    • The conversion of documents on the ‘Help’ page from PDF to HTML format.
  • Bug fixes and fine-tuning to improve the overall user experience, including:
    • Various minor content updates across different pages to ensure compliance with the GOV.UK style guide.
    • Correction of the business rules which trigger a date error message when a user attempts to update the details of a shared governor.
    • Correction of the business rules which trigger a date error message in some circumstances when using the ‘bulk create academies tool’.

    • Resolution of an issue that caused inaccurate inspectorate data to be displayed in some extracts and downloads where an independent school had converted to another type of establishment.
    • Improved clarity of which establishment types the proprietor information is applicable to.
    • Clearer messaging in the ‘Data from other services’ section of an establishment’s record to confirm when there are no live links to other websites for that establishment.

  • Improved ability to remind establishment users when their GIAS record is due for review - see earlier news stories for more details.
  • Previously, the record of an establishment in the process of converting to an academy was locked to users at the point that the record for the successor academy was created. Now, users will be able to edit the record of the current establishment until 4 weeks before the successor academy is due to open.
  • Improvements to the experience for users with accessibility needs.
  • Bug fixes and fine-tuning to improve the overall user experience, including:
    • Resolution of an issue impacting on the experience of users updating ward details.
    • Resolution of an issue within the SAT and MAT membership history download.

Advance warning to users responsible for keeping the establishment record up to date

Get information about schools (GIAS) is the Department for Education’s official register of educational establishments in England and Wales. It contains vital information about schools and is the national database of school governors.

GIAS data is used by key departmental digital services, data collections, funding calculations and statistical analysis.

The contact information held within GIAS is also used to support the promotion of important policy announcements and urgent communications with schools and academy trusts in emergencies.

For these reasons, it is essential that all establishments ensure their GIAS record details, including contact information are up to date.

GIAS will soon be implementing new functionality to remind establishment users and the headteacher when the establishment record has not been reviewed, updated and saved for more than 60 days and will continue to re-issue this reminder weekly until the action is undertaken. Please take this opportunity to review your establishment details in advance of the implementation of this functionality.

How to update your establishment’s record details

  • Go to the GIAS home page, select ‘Sign in’ using your DfE Sign-in (DSI) credentials and select GIAS from your available services.
  • If you do not have a DSI account or your account does not have access to GIAS, please ask the DSI approver in your establishment to ensure you have access.
  • Once logged in you can select your establishment’s record and then review the information on the different tabs and edit and/or save where required.

Get information about schools (GIAS) is the Department for Education’s official register of educational establishments in England and Wales. It contains vital information about schools and is the national database of school governors.

GIAS data is used by key departmental digital services, data collections, funding calculations and statistical analysis.

The contact information held within GIAS is also used to support the promotion of important policy announcements and urgent communications with schools and academy trusts in emergencies.

For these reasons, it is essential that all education settings ensure their details are up to date on GIAS.

This release includes the following improvements:

  • Improvements to the accuracy and coverage of UK Provider Reference Numbers (UKPRNs). UKPRNs on GIAS will now be automatically updated when there are changes to the UK Register of Learning Providers (UKRLP). Multi-academy trusts (MATs) and other group records now also display a UKPRN. They are also now included in downloads and can be added to web service profiles.

Local authority structural changes
1 April 2019

The list of local authorities in the Get information about schools (GIAS) service has now been updated to reflect the changes arising from the Bournemouth, Dorset and Poole (Structural Changes) Order 2018 (opens in new tab).

The DfE (aka LA Estab) number of establishments effected by these changes has also been updated.

Other underlying spatial and location data will be refreshed when the AddressBase update is available.

Users do not need to take any action within GIAS.

DfE Sign-in users and users of other downstream applications have been issued with separate guidance explaining the actions they need to take within those services.

This release includes changes that have come from our user feedback - please continue to let us know what you think of the service by completing our survey. You should report specific queries or faults by sending us a service request but only after reading our FAQs.

  • Users who submit change requests can now see who will be responsible for approving them.
  • Public users can now see when a schools record was last updated or confirmed as accurate.
  • We’ve improved the school governance pages to make it easier for logged-in users to update the chair of governors for an academy.
  • Logged-in users can now see the change history for academy trusts as well as individual establishments.

This release completes work to utilise our new Microsoft mapping service provider. This will ensure users of the GIAS mapping tools receive the same experience as our sister service, Find and compare schools in England.


DfE Sign-in
31 October 2018

The way you log in to Get information about schools (GIAS) is changing. DfE Sign-in replaces Secure Access and users must migrate to this new accreditation system when instructed.

If you do not have a Secure Access username and password you do not need to take any action – you will continue to use GIAS as you do now. This migration to DfE Sign-in does not see any other change to how the GIAS service works.

When you attempt to login to the GIAS service, you will receive a prompt to migrate, you will do this by entering your Secure Access Username and Password. On screen instructions will then clearly explain and guide you through the process. You cannot dismiss or ignore this requirement but it is a one-time exercise, after which, you will no longer use Secure Access to login to GIAS. You may continue to use Secure Access for other services but these will also migrate in the coming weeks.

Each organisation has a Secure Access approver. The approver in each organisation will still need to use Secure Access to manage who can login to GIAS and any other services. When all services have migrated to DfE Sign-in, approvers will receive further information.

There may be minimal disruption to the GIAS service as we apply these changes on the morning of 1st November. If disruption becomes more extensive, we will provide an update on this news page. Users who encounter any difficulties after this time should contact the DfE Sign-in Helpdesk.

Web services

Users that have a Web services account will see no immediate change following the migration to DfE Sign-in; data will continue to flow between services. The next time you attempt to logon to the GIAS service you will be prompted to migrate and should follow the on screen instructions.


Information and advice for schools making changes

Users should remember to update their Get information about schools record as soon as possible and within specified timescales whenever there is a change to their establishment.

Additional guidance is now available for academies making major changes to their school (eg expanding, merging with another academy, or changing the school’s age range or faith). The guidance document sets out the process you will need to follow, and explains which application form you should complete.

This release includes changes that have come from our user feedback - please continue to let us know what you think of the service by completing our survey (opens in new tab). Most of the changes apply only to logged-in users and include:

  • Governance change history - users can now view and download changes to their governance (link available to logged-in users on the governance tab).
  • Colleges and sixth forms can now confirm to DfE if they offer residential accommodation. You can do this by changing the ‘boarders’ data field to either ‘College / FE residential accommodation’ or ‘No boarders’.
  • Improvements to our address database that means all UK addresses are available in the system and are easier to change.

We are also changing the ‘schools admissions policy’ field so that it reflects current practise. You may see your establishment record change to one of the following admissions type:

  • Selective
  • Non-selective
  • Not recorded
  • Not applicable

Any changes are recorded in the change history of your establishment and you do not need to take any action.

DfE Sign-in

The way you sign-in to DfE services is changing - Get information about schools will be moving over to DfE Sign-in in the coming weeks. You do not need to take any action until prompted.

Users with a Secure Access account will need to follow a simple on-boarding process, this starts by entering your Secure Access username and password to DfE Sign-in so we can recognise your account.

We will notify you with a message on this news page before we implement the change.

We make frequent changes to the service - not all of which are obvious to all users - but every change comes from feedback from our users. It is not possible to respond to everyone but we do record every response to our survey and every helpdesk query so that we can continue to improve.

If you have never given us your feedback, please do so as it really is important to us.

If you have already taken our survey, please consider doing it again. We have been working on addressing your comments and feedback through a series of releases over recent months and we want to know if this has led to a change in your perceptions and experiences of using the service.

An updated version of the Get information about schools (GIAS) service has been released to all users. You do not need to take any specific action.

This release fixes known bugs and includes a number of major improvements to the service:

  • Confirmation of fields requiring authorisation
    Some fields require authorisation before changes that you make come in to effect - this will not change.
    The service will now tell you which fields require authorisation when you confirm your changes.
  • Changes to the governance page
    1. When a new Chair of governors is elected from within the existing governing board and the previous chair is remaining on the board you can now swap them. To do this, select ‘replace’ that is available in edit mode and then select the appropriate name in the ‘Choose governor’ drop down list.
    2. A message will be sent to all users associated with an establishment when any governor is 180 days away from ending their term. This is to allow time for the establishment to appoint a new governor if that is required. A further reminder will be sent on the day the term ends.
  • Federation tool
    We have made changes to this tool that will allow schools to create new federations. Note that you can only create a federation when you attach two or more schools to it.

Some other changes include:

  • Number of pupils is now shown on screen (note this is as per School Census data and may not be the most up to date figure)
  • Increased postcode coverage
  • New changes will always overrule pending changes
  • Religious character will default to ‘not recorded’ for any new establishment records
  • The on-screen map will not show results if there are more than 1000 locations

An updated version of the Get information about schools (GIAS) service has been released to all users. You do not need to take any specific action.

As with previous system updates, this release includes fixes to known bugs and delivers some back-end improvements.

Feedback is very important to us and whilst we are not able to respond to everyone, it allows us to concentrate on the improvements that users need. For instance, users told us that they would find it helpful to choose which data fields are in their download and we have made this available in this release.

An updated version of the Get information about schools (GIAS) service has been released to all users. You do not need to take any specific action.

This release fixes known bugs and includes a number of improvements to the service including:

  • location data updates
  • location maps available for all sites on group pages
  • ability to record additional addresses for independent schools
  • ability to record a corporate contact for all multi-academy trusts
  • inclusion of links to the Compare Schools Performance pages
  • sortable columns for all data tables
  • when converting single academy trusts, the original school will be added to newly created multi-academy trust
  • establishment groups that are closed will be more clearly marked as such with a banner at the top of the page

We have also implemented some back-end enhancements that may not be immediately visible to users but will increase the usability of the service. For example, action buttons will not be available to click until the completion of an appropriate action. These enhancements will also improve the stability and speed of the service.

Users are encouraged to continue to provide us with feedback about general use of the service. Whilst we cannot respond to everyone, we do take actions based on user feedback - please complete our survey by clicking here. If your perception of the service changes you can complete this again to tell us.

Important note: We remind users of the downloads page that provides all establishment data which is also split by academy/maintained schools, children’s centres and establishment groups. These files are quicker to download when compared to using the search and filter functionality.

Updating records to use services linked to Secure Access
26 October 2017

Secure Access requires users to update and/or confirm that their ‘EduBase’ record is correct within specified time periods. Until this action is completed, the availability of other services (including S2S, COLLECT, RAISE/ASP) that are controlled by Secure Access will be limited.

As Get information about schools (GIAS) is now live, it is your establishment GIAS information that you should update. You should read references to ‘EduBase’ in this process as GIAS.

To update your establishment information on GIAS please do the following:

  • Log into Secure Access and make sure that you are on your account home page
  • Click on Get information about schools in your list of available services
  • You should then be taken to your establishment information page on GIAS. If instead you are taken to a public search page for the site you will need to click on ‘Log in’ at the top of the page (you should see this in a black margin). Provide your Secure Access login details and this will take you to your establishment information.
  • Check your establishment details and you should now be able to edit them
  • Edit your establishment information if necessary
  • If you are satisfied that your establishment information is up to date, confirm the details. There should be a confirm details button either in the ‘Details’ tab on your establishment information page or just above the ‘Details’ tab
  • Go back to Secure Access once you have confirmed the details. Refresh your page by pressing F5 or clicking on the ‘Home’ button at the top of the page
  • Your establishment details will be correct and you should have access to your services again.

This release includes functionality to help interrogate data within the service as well as minor bug fixes and improvements to back office support. You can now use the following functionality:

  • improved search within change history
  • sortable table columns
  • select all option added to search filters
  • search within establishment filters
  • additional download files
  • option to include links data in downloads

A further release of the Get information about schools system is now available. You do not need to take any actions for these improvements to take effect.

Our previous release fixed a number of known issues and some problems affecting specific users. Since then we have been working on enhancements to the way the service works and we have based these improvements on the user feedback that we have received. These enhancements include:

  • Search functionality:
    • results can now be shown on a map
    • removal of the ‘Pre LGR’ local authority which will make it easier to search for establishments by local authority
    • search filters are now listed alphabetically
  • Downloads:
    • An increase in the number of files that can be downloaded in both .cvs and .xls formats
    • Single group details can now be downloaded
  • Improvements for internal users

Get information about schools is now available for all users. All data that was in EduBase at 5pm on Friday 15th September has been migrated to the new service.

Users can view the majority of information available in the service without a password. If you previously had a password to access EduBase, use the same login details (via Secure Access) to access the service and make changes.

We will continue to review the service and to deliver further improvements. Details of some of the areas that we have already committed to are included in the development update. You can contribute to this work by continuing to send us feedback via the link at the top of the page.

30 August 2017

We will launch Get information about schools on Monday 18 September. This service will become the primary source of school data from that point replacing the current EduBase system.

In preparation for this launch, users should stop making updates to EduBase from 5pm on Friday 15 September as the database will be frozen and data transferred to the new service. All existing credentials (managed through Secure Access) will continue to be valid once the new service is live and will provide the same privileges as they currently do. The feedback we have received so far on the test version is proving useful and we encourage users to continue to complete targeted test scripts or provide feedback via the general ‘feedback’ link.

We have released a further and final version of the test system that allows users to update shared governor information. Following the launch of Get information about schools, we will look to deliver further enhancements and functional improvements - a list of those that we have committed to so far is available here.

Many thanks to those of you who continue to provide feedback through the general ‘feedback’ link and respond to our targeted test scripts. If you haven’t given feedback yet, you still have a few weeks before we switch off Edubase2 and make ‘Get information about schools’ the primary source for establishment data. We’ll let you know the exact timing of this shortly, so please continue to check this news page for further updates.

We have released a further update to the system that includes general service improvements as well as enhancements to the download functionality and ‘Create new federation’, ‘Create new school trusts’ and ‘Create new sponsors’ tools. We are continuing to develop shared governance and other functionality. An updated list of the areas being worked on is here; we’re not looking for feedback on these areas at this time.

Thank you to those users that have provided us with feedback whether this has been through our targeted test scripts or through the general ‘feedback’ link displayed on the site. Testing continues and whilst we are unable to respond individually, we welcome further feedback. If you have been sent a test script it would help us if you complete this as soon as possible after you receive it.

We have released an update to the system that includes a number of service improvements such as the relaxation of certain obfuscation rules and improvements to response times. Some issues remain around shared governance in particular and we continue to work on fixes for these. An updated list of the areas with known issues is here; feedback on these areas is not needed at this time.
